In a recent client inquiry, the question arose regarding the ability to synchronize events across multiple Google calendars simultaneously. The client, who manages a team, wanted to ensure that his calendar events appeared on his calendar as well as on two other team members’ calendars.
Unfortunately, Google Calendar’s default settings only allow events to be booked on one calendar. However, there is a simple workaround that allows for sharing and synchronization across multiple calendars. To begin, open your Google Calendar and navigate to the calendar where your events are currently being added. Click on the calendar settings option.
In the calendar settings, scroll down until you find the “Share with specific people” section. Click on the “Add” button to add the individuals with whom you want to share your calendar.
In the sharing settings, you can customize the level of access you want to grant to the shared users. You can allow them to see all event details or even give them permission to make changes to the calendar. Choose the appropriate access permissions based on your requirements.
If you are using a Google Workspace (formerly G Suite) account, additional steps are required to enable the sharing options. Access the admin console for your Workspace account and search for the calendar settings. Look for the “External sharing” option for primary calendars. Configure the settings to allow sharing of all event information without granting permission to change the calendar.
After saving the changes in the calendar settings, refresh your calendar page. Once refreshed, add the shared users to your calendar by sending them an invitation. The shared users will receive an email notification with a link to add the shared calendar to their own calendar.
To test the synchronization, create a new event on your original calendar. Save the event, and it will automatically appear on the shared users’ calendars. The event will be synced across multiple calendars, ensuring everyone is updated with the same information.
If desired, you can customize the colors of the shared calendar events to differentiate them from your personal events. This step is particularly useful when managing multiple calendars simultaneously.
Although Google Calendar does not natively support adding events to multiple calendars simultaneously, you can easily achieve synchronization and sharing by following the steps outlined in this article. By sharing your calendar with specific users and granting appropriate access permissions, you can ensure that events are visible and synchronized across multiple calendars.
